In order for an ERP software to be defined as "international", it is essential that it is natively prepared to take into account the specific needs and peculiarities of different countries. Think, for example, of tax rules, traceability requirements, invoicing systems, and much more. Given this innate openness, taking action at the level of development on individual localizations will be able to adequately meet all the needs of the country to which the product is addressed.

You know that the ERP Mago4 is a management system born with these characteristics and that is able to adapt to any context: not by chance it is widespread in more than 30 countries around the world.

Today we are examining a specific case concerning financials-accounting management in Spain, extended by the localization of the Mago4’s Fixed Assets module. It is well known that each country has its own way of managing and calculating depreciation; based on the requests for the management of the administrative functions of the country Spain - for which the Fixed Assets module had not yet been localized - a whole series of specific features are available with the SP 3 of Mago4 2.4.

In Localization Spain, therefore, important functions have been activated for the Fixed Assets module, such as the management of tax and budgetary depreciation schemes (the latter called "technical" in Spain), default data relating to reasons, categories and parameters, partial deductibility in the tax system. In addition, the monthly calculation of the depreciation rates has been included, as well as the possibility of recording them in the accounts on a monthly, quarterly or annual basis, depending on a specific parameter.

An interesting note to confirm the flexibility of the Mago4 ERP: the management of depreciation for Spain descends from that currently in use in Hungary and Poland, whose features have been extended to the Spanish localization since the new update of Mago4 2.4.

The main innovations of the first SP for the 2.4 release of Mago4 concern the electronic invoicing, introducing the asynchronous mode to speed up and simplify the process of sending invoices and receiving notifications.

Thanks to the asynchronous mode, the Mago4 client has been relieved of the heavy task of sending invoices, waiting for the outcome of the sending and requesting and receiving the update of documents status.

With the asynchronous management, the Mago4 client transmits in a few moments to the new ESP service (Erp Service Provider) the request to send documents to the Zucchetti Digital Hub. This is true whether it is a single invoice, or whether you are dealing with a massive submission of several documents.

In this way it is possible to immediately carry out any other operation from the client, almost "forgetting" the actual sending of the documents, which will be carried out by ESP after the formal validation of the documents themselves. ESP will also automatically manage the communication with the Digital Hub, in order to accept the handling of documents and update their status. In fact, as soon as received updates on the documents, ESP immediately aligns the Mago database thus making the information available for each client.

It is easy to see that the new Mago4 asynchronous management service involves a decisive optimization of daily operations, because it avoids bottlenecks due to the transmission of invoices with considerable gains in terms of time and productivity.

Mago4 2.3 SP1 localizations

Amongst the new features designed for the Spanish localization, in the administrative area the main one is represented by the TRM Connector. With the SP 1 of Mago4 2.3 it is in fact available the integration of Mago4 with the Tax Reporting Module by Solmicro - the Spanish company of Zucchetti Group - that allows to send issued and received documents from Mago4 to Solmicro’s eXpertis application, in order to produce the SII Declaration (Suministro Inmediato de Información) and other fiscal declarations.

Interesting news also for the German localization. With the SP1 of Mago4 2.3, in fact, the Discounts and Roundings accounting posting from Clearing has been introduced. For both procedures, the VAT of the original document is adjusted and the discount amount is posted on special accounts, different by tax code.

Not only: in Germany the SP1 makes the Banks Download procedure available. The procedure accesses through web-services to German banks’ updated files and subsequently updates data in the bank customers/suppliers database.

Moreover, in Professional and Enterprise configurations for German localization, the SKR04 folders are now available with accounts coded according to the default Datev Chart of Accounts SKR-04.

As for the Logistics area, on the other hand, an improvement for the Brazil localization is particularly noteworthy: in Mago4 2.3.1 the Sales Order Fulfillment procedure has been added, so as to align Brazil with other localizations where it is already possible to process customer orders in sales documents. This procedure greatly speeds up the generation of Nota Fiscal from Sales Orders. In this way it is possible to choose the Nota Fiscal Type that you want to generate, make the last changes to the orders before the NF generation, proceed to Post in Inventory the goods and/or Post Payment Schedule. Moreover, the user can choose whether to generate a NF for each order or whether to group them into a single NF for customer, and decide if process only the orders for which the goods are completely available.

SP 2 for Mago4 2.0

The new SP 2 of Mago4 2.0 contains several improvements in different functional areas; as always, the update incorporates the latest regulatory developments. In this case in particular the SP adopts the adjustments required by Italian Government for the CU 2018, a tax document that taxpayers must produce to certify the income from work.

These changes concern the communication of some contents of the CU 2018: title, personal data and data of the self-employed. The transmission of CU is scheduled for March 7, 2018. With its SP 2, Mago4 2.0 therefore updates the procedure already existing in Financials Accounting, to allow you print on the new models the information that, as before, are extracted mainly from bills and supplier details.

In Financials Accounting area, Mago4 2.0.2 also establishes a new menu titled Old Declarations, where the tax declarations no longer in force have been moved. It is also possible to parameterize the link to the Revenue Agency website, while the Accounting Entries Management have updated the default and sample parameters data.

About integration with Zucchetti Infinity: Mago4 2.0 SP2 improves the use of I.Mago configuration wizard, which becomes even more user-friendly. In addition, a specific improvement allows you, in presence of several companies, to choose whether to use the management of mail on the Mago4 side or the Infinity side.

The Mago4 SP2 2.0 also improves the interface of the punctual synchronization panel, clearly distinguishing the available information about synchronization between the ones regarding the status of data and those relating to the technical data of synchronization. Also the synchronization status signal is more readable and immediate, thanks to the adoption of a green smiley to indicate "everything is OK" and a warning triangle in case of error (with possible text message).

Recent Mago4 updates deal with the new law adjustment about Split Payment.

Some updates promptly adopted by Mago4 include the Split Payment mechanism, which from 1 July 2017 is expanding its sphere of application both to the subjects purchasing goods and services as well as to the sellers and providers of goods and services.

First of all, we want to summarize some basic concepts. In Italy, the Split Payment is a mechanism introduced in 2015 requiring that public purchasers of goods and services - even if they do not qualify as taxable persons - pay directly to the tax authorities the VAT charged by the suppliers. In practice, VAT on a document issued to a public body is not collected by the party who issues the invoice, and consequently he is not paying the VAT.

As of July 2017, something has changed over this discipline. According to the new Italian rules, the recipients of the measure are now distributed in three large groups: institutions and companies belonging to the Public Administration, the companies controlled by the Council Presidency, the Ministries and the local authorities and listed companies. Another news is that also the provision of services subject to withholding tax are required to adopt Split Payment: among them, the most frequent case is that of self-employed and professionals, thus becoming new parties obliged to Split Payment.

Mago4 1.4.1 accepts these changes: the user can freely decide, depending on the type of customer, when to activate the Split Payment procedure, which can be enabled in Mago as of 1/7/2017 even in the case of withholding tax made by a professional, and not only if the customer is the Public Administration.

To manage the Split Payment in Mago4 you only need to identify which customers are covered by a specific option in the registry. After that, according to automatism in the program, the documents issued to these customers will exclude the amount of VAT both in total to be paid, and in the entry. In accounting, a special VAT transfer fee will be generated and the VAT of such documents will never be counted as due in Liquidation. You can also set a specific wording on printing documents, to be identified as affected by the Split Payment.

This update is one of the improvements contained in the SP 1.4.1 Mago4, which was recently released and immediately followed by the 1.5 release, that you can read on this blog.

The last update of Mago4 offers improvements in inventory management and helps to deal with the Brazilian tax system.

It is easy to see that companies that handle a large amount of goods - both inbound and outbound - must be able to count on a quick compilation and verification of data on transport documents. The basis of this mechanism is the Inventory Reason, that is, a set of codes allowing to record ofstock movements, and then determining the update of the amount of loading and unloading (and additional) quantities and the respective values.

The Inventory Reason regulates the type of movement (sales, purchase, trial etc.) to be recorded in the system, to have the correct availability of goods in Storages. In order to make even faster the filling and control of the propriety of entered data, Mago4 1.3 Service Pack 3 adds the Inventory Reason to the master data of delivery documents. In this way, the Inventory Reason is now present both in Main Data,and in Shipment tab of the active cycle transport documents and purchasing cycle.

There is more: the latest update of Mago4 dedicated to the Brazilian market makes easier also the whole system of tax rules proposition.

The complexity of the Brazilian tax system can induce tax advisors to create a large number of Tax Rules, recalled also from documents in which those rules are not actually used.

Mago4 reach now the goal to simplify the whole proposition system of Tax Rules in the documents (Fiscal Note): in your ERP has indeed been added the Nota Fiscal Type field in the General Tax Rules table. If this field is not filled out, the tax rule applies to any Tax Note; otherwise it only applies to the Fiscal Notes of the same type.
