The hot topic of electronic invoicing has a new player: Mago4 is ready to import passive electronic invoices directly into Accounting.

With its 2.4 release, Mago4 makes available the procedure to import all documents received from suppliers, downloading them directly from the Zucchetti Digital Hub portal, in order to generate the accounting posting.

The procedure downloads both individual documents and batches of invoices - ie multiple invoices sent by the same supplier - from the Digital Hub. The downloaded documents are listed in a grid, where they should be completed with some data necessary for the accounting posting (such as: supplier, accounting model and payment condition). Such data can be automatically suggested, if the supplier is already present in suppliers master (identified by Tax Code) and contains a preferred accounting model for invoices and credit notes.

If the supplier is not yet recorded in the archive, it can be automatically created by using a special button on the toolbar, or by the context menu.

When selecting the accounting model to be used, the program, in addition to proposing the accounting template congruent with the type of document (invoice / credit note), checks that the selected template is correct in order to manage any total or partial reverse charge that can be present in the document to be posted.

The accounting entry has to be entered for each document: by using special buttons in the toolbar you can display the content of the received document and enter the accounting entry, that is already filled in with the selected accounting template and with the amounts of tax summary of the received documents suggested in the Tax Summary of journal entry, linked to a tax code identified through the rate or the tax nature (or tax sub nature) specified in the document.

Amounts in GL Journal are suggested in the preferred offset of the supplier or in the offset set in the accounting template. In case of additional charges, they are posted in a separate row.

Finally, the import procedure downloads the documents received from the Digital Hub, matches them to the supplier if present (or allows automatic census) and allows to enter each accounting entry in the already described manner; one of the advantages is having the amounts already suggested both in Tax Summary and in journal entry, as well as the possibility to manually correct any codes or offsets.

If you prefer to postpone the accounting entry to another time, there is no problem: documents downloaded from Digital Hub remain in the grid of the procedure until their accounting posting; entering the procedure, in fact, the program lists the documents already downloaded, but not yet accounted for, allowing you to better organize your activities.

After that, e-invoicings downloaded from Digital Hub are no more visible in the grid, but they can be displayed inside their accounting posting.

Also this release 2.4 uses the ability to dialogue, open and integrate of  Mago ERP, allowing you to take advantage of the potential of the one-click Digital Hub Zucchetti solution, to manage the delicate flow of electronic invoicing and be immediately aligned with the legislation.

We often talk about international ERPs, able to operate effectively in the most varied contexts and realities of different countries. Nevertheless, what are the characteristics of an ERP software that is really able to ensure a competitive advantage everywhere?

It has to be first at all a multi-language ERP, to process in different languages information such as invoices, names, quantities, currency, price lists. The ERP has also to be multi-company and multi-legislation, to manage the legal and tax regulations of the various countries. Moreover, it is essential that it is able to integrate efficiently data from heterogeneous systems, including third-party software. Naturally, we take it for granted that a truly international ERP is modular, scalable, quick to implement and easy to use. In summary, in order to successfully follow projects without borders, an ERP software has to represent a solution with native international capabilities and preferably have a local integrator, able to facilitate the implementation phases.

The ERP Mago4 has all these characteristics, and it is in fact one of the pillars of the international presence of the Zucchetti Group, a force able to build relationships of trust with local players with whom to share principles and visions for a competitive growth.

The latest confirmation comes from an important test case, in a strategic country like Germany. Thanks to an important project started from basis, fully focused on Mago4 and conducted by Zucchetti GMBH for the Company Randazzo GmbH, the German scene enriches the solid functional localizations of the international ERP Mago4.

Randazzo GmbH is present on the German market with Gusto Italia, a small B2B and B2C sales company that offers Italian food products and specialties in the heart of the Rhine-Main region, near Frankfurt. The main feature of Gusto Italia is to be configured both as a physical market and as a sales system to the retailer, for export purposes too, thus presenting numerous and extremely different needs.

As part of the project, it was immediately clear that the logistics processes of Randazzo GmbH face the same challenges as large companies in the Cash&Carry and the retail sale of food products, especially in the Supply Chain and Warehouse Management sectors: having customized lists, managing lots and mixed pallets are just some of the most important needs. For the company, it is also essential the guarantee of a software capable of growing together with its business.

To fulfill all these requirements, Mago4 ERP has been entirely converted ex novo, also dealing with a series of apparently trivial aspects (adaptation of the fictions, which now follow the German model, import into Mago4 of all the inventory and related data). The ERP is now ready to perform a primary role in the management of master data and price lists, with the definition of prices and barcodes.

With Mago4, Gusto Italia has initially adopted all the functions dedicated to the management of the logistics area, with special attention to WMS and WMS Mobile and to the management of lots characterized by a precise DMD - Date of Minimum Durability. As the needs increase, the company has implemented a complete configuration also in the Supply Chain area, in a progressive and modular manner.

With the ERP Mago4 and the support of Zucchetti GmbH's experience, Gusto Italia quickly achieved a decisive optimization of processes and a rapid increase in production thanks to the drastic reduction of waste of goods, greater transparency in the processes and control of deadlines and the drop in consumption related to inventory logistics.

Mago4 has therefore played a crucial role for Gusto Italia and at the same time has been able to receive an important stimulus from the customer. In fact, a specific need for Gusto Italia, which is linked to the management of variable-weight barcodes, has been implemented within the software functionalities and transformed into a growth factor at the operational level. Mago4 now has a substantial improvement in the management of barcodes and is able to administer variable-weight barcodes within the active/passive cycle (ie relating to products, whose packaging does not have a predetermined and constant weight, the unit sales price of which varies according to the final weight).

The German case is exemplary: Mago4 is able to face the challenge of international development by supporting a seamless operation both of companies that want to project themselves abroad, and of already localized realities, combined with an implementation through a "trust- based network " branded Zucchetti.

CH Localization

The forthcoming release 1.5.2 of Mago4 will bring some important updates to the Swiss localization, aligned with the country's most recent regulations.

As of 1 January 2018, VAT adjustments will be made in Switzerland; from that date, a partial revision of the VAT Act (LIVA) will also enter into force, entailing some changes in the tax reporting forms.

As a result of such updates, and in view of a constant functional alignment with the most current reality, new rates between VAT codes have been added in Mago4 1.5.2. In addition, default data have been updated, with changes in VAT codes, accounting models, and reporting data.

The update also applies to the various VAT statements that have been changed in order to print the amounts relating to the new VAT rates and are already ready for use in the 4th quarter of 2017.

Another update, always in Swiss location, concerns PVR management, i.e. the type of payment locally used to collect invoices: the files that have been used to import receipts to Mago4 will be replaced in 2018 by xml files. With its 1.5.2 version, Mago4 is ready to import the xml file of the invoices supplied by the banks on the basis of the expected standard tracks, then closing the entries and generating collection records into the accounting.

Both of these features are designed for the Swiss market, one of the countries where your ERP Mago4 is featured with a full functional localization. Mago4 is always aligned with local regulations and can adapt to the context in which you work, to support you developing your business wherever you are.

VAT communication

A new digital communication service allows you to align with legislation.

As you already may know, the tax communication introduced by Italian Government with Legislative Decree 78/2010, in 2017 was replaced by a new tax compliance: the Analytic Communication of VAT Data (Decree Law 193/2016). This decree requires all VAT taxpayers to communicate to the Tax Agency data of the invoices issued and received, and information of the periodic VAT payments.

Delivery of data must be made in electronic format, every six months. The first deadline for 2017 is set at 31 May for the communication of the periodic payment of VAT data, and September 18 is the deadline for invoice data. In case of non-compliance, important sanctions are foreseen.

If you have activated the Tax and Multipurpose Communications Module of Mago4, this year you can still use it to send the 2017 Tax Communication (fiscal year 2016) to be carried out according to the same deadlines as the past years: April 10, 2017 for monthly VAT payers, April 20, 2017 for quarterly VAT payers.

And for the future? Do not worry: in order to respect the new 2017 tax compliance, Zucchetti offers you the new service Analytical Communication of VAT Data (italian CADI) designed to send VAT data to the Revenue Agency. It is an online service that can be activated with an annual fee. The service is fully integrated with your ERP, in order to automate and speed up the whole process of data sending. In the aame time you activate the service, you'll receive the cancellation for Tax and Multipurpose Communications module, no longer useful.

Remember, however, that the activation of the new CADI service requires technical time. To ensure a rapid start-up, it is therefore important to act quickly.
